CREATING MEALS

To Create a meal, first navigate to the Meals and Services Page by selecting Administration from the menu and then selecting Meals and Services. Scroll down to reach the Meal Setup heading.

 

 

Then click the New Meal button. This will display the New Meal popup, where you can fill in information about the meal.

 


VIEWING AND UPDATING MEALS

If you want to Update a meal, just click the blue Information button next to its name on the Meals and Services Page. On the View Meal Details popup, you can make changes to all the meal’s information. Once you’re happy with the changes, click the Save Changes button.

 


DELETING MEALS

To Delete a meal from Polixen, it has to be an Unused Meal. This means it can’t be part of a Menu and it can’t be part of a client’s Meal Plan. Polixen won’t let you delete a meal that’s in use. If you have an Unused Meal you’d like to delete, find it on the Meals and Services Page and click the blue Information button. On the View Meal Details Popup, scroll down to the bottom and click the Delete Meal button.

DELETING MEALS THAT ARE IN USE

If you wish to remove a meal from a menu and the meal is connected to existing client meal plans, you will need to create a permanent menu change.

1. Click on Administration, then “Meals & Services”
2. Click on the i button next to the menu the meal belongs to
3. Click on Actions, then “Menu Changes”

4. Then click “New Permanent Menu Change”.
5. Select the Start Date you wish the meal to not appear on the menu from. If you select a date after today, the meal will still appear until that date.
6. Select the week and day of the meal you wish to remove and leave End Date empty.
7. Click “New Menu Change”.

From the menu change screen, find the meal you wish to change and select the “Remove Meal”. You may also do the same for other meals for this day and rotation week. When finished, click “Submit New Menu Change”.


CREATING MENUS

To Create a menu, navigate to the Meals and Services Page by selecting Administration from the menu and then selecting Meals and Services. Then click the New Menu button. This will display the New Menu popup, where you’ll have to fill out some basic information about the menu. The menu will need a Name, a Start Date and an End Date. If your clients will be choosing from the same meals each week, set the Rotation to 1. If they’ll be choosing from different meals on different weeks, set the Rotation to the amount of weeks in your menu. That is: a 4 Week Menu should have a Rotation of 4.

Note: If you’re creating a Rotating Menu (ie: a menu with a rotation greater than 1), the Start Date should be a Sunday. This will avoid unexpected behaviours.

Once you’ve entered the information, click the Submit button to create the menu. Then you can View and Update your menu by clicking the blue Information button next to your new menu.

 


VIEWING AND UPDATING MENUS

On the Meals and Services Page, you can see the basic infomation for each menu: its NameRotationStart Date and End Date, etc. To View the meals in a menu, and to Update the meals or information in a menu, click the blue Information button next to the menu’s name. You’ll be taken to the Menu Details Page.

 

 

On the Menu Details Page, you can see all the basic information for a menu, as well as its meals. You can Add or Remove meals, Update the menu’s basic information, Delete the menu, or use the Actions button to View the history or changes, Print the menu, or Copy the menu.

 

 

To Add a meal, you’ll have to select the Meal Name as well as the Week and Day of the menu it will appear on. You can select Multiple Weeks and/or Multiple Days. Once you’ve filled out that information, click the Add Meal button to add it to the menu.

To Remove a meal, simply click the Garbage Bin icon next to the meal. You can only remove an Unused Meal. If it’s part of a client’s Meal Plan, Polixen won’t let you remove it from the menu. You can use the Meal History button to check if a meal has been used.

To Update a menu once you’ve changed some of its information, click the Save Changes button.


VIEWING MENU HISTORIES

From the Menu Details Page, you can view the History of the menu. To do so, click the Actions button and select Menu History. This will take you to the Menu History Page for that menu. If a client has a recurring meal plan using that menu, or a once-off meal from that menu, during the date range, it will be listed here. You can click the blue Information button next to the client to be taken to the relevant meal plan. You can also change the dates in the date filter to update the meals listed (click the Update button once the dates have been changed).

 


VIEWING MEAL HISTORIES

From the Menu Details Page, you can view the History of each meal. To do so, click the green Leaf icon next to a meal. This will take you to the Meal History Page for that meal. If a client has that meal in a recurring meal plan, or as a once-off meal, during the date range, it will be listed here. You can click the blue Information button next to the client to be taken to the relevant meal plan. You can also change the dates in the date filter to update the meals listed (click the Update button once the dates have been changed).

 


PRINTING A MENU

To see which meals are available on certain dates, or to create a menu you can send to clients, you can Print the menu from the Menu Details Page. To do so, click the Actions button and select the Print Menu option.

 

 

By default, the Start Date and End Date are both set to today’s date, but you can change them. Once you’re happy with the dates, click the Run Report button to create the PDF menu. It will look something like this:

 


MENU CHANGES

Menu Change refers to a particular meal being changed in a menu. There are two kinds of Menu Change:

  • Temporary: This refers to a menu change that takes place only once on a particular date. For example: the Tomato Soup on April 1st could be changed to a Pumpkin Soup. This only affects April 1st. The next time Tomato Soup comes around, it will be a Tomato Soup again.
  • Permanent: This refers to a menu change that starts on a particular date, and ends on another date. For instance, the Apple Pie on Week 1 Mondays could be changed to Chocolate Cake between April 1st and April 30th. For that whole month, whenever a Week 1 Monday appears, the Apple Pie meal will be changed to a Chocolate Cake. Before April 1st, and after April 30th, it will be Apple Pie again.

To view all changes for a menu, click the Actions button and select Menu Changes. The Menu Changes Page will list all changes for that particular menu.

 

 

To create a new change, click either the New Temporary Menu Change button, or the New Permanent Menu Change button. When creating a Temporary menu change, you’ll be prompted to select the Date. When creating a Permanent menu change, you’ll be prompted to select the Start Date and End Date, as well as the Week and Day of the menu the change will affect. Once you’ve filled in the information, click the New Menu Change button to be taken to the Menu Change Page.

 

 

 

Once you’re at the Menu Change Page, you’ll see all meals that are on that date. You can then select a New Meal for one or more of these meals. Once you’ve selected your new meals, click the Submit New Menu Change button to create the change. You’ll then be able to see the new change on the Menu Changes page, as well as on reports for that date.

 


 MEAL CATEGORIES

To get to the Category page, navigate to the Meals and Services Page. Then click the Meal Categories tab. On this page you can see a list of all meal categories created on your Polixen sytem. You can Create new categories, View and Update existing categories, and view the meals assigned to each category.

To Create a new category, click the New Category button. All a new category needs is a name. Once you’ve filled in the name, click the Create New Meal Category button to save your new cateogry.

To View an existing category, click the blue Information button next to its name. On the View Meal Category popup, you can update the category’s name. Click the Save Changes button to apply the change.

 


VIEWING MEALS IN A CATEGORY

To view all meals in a category, click the green Meals button next to a category.

While viewing this list of meals, you can click the blue Information button next to a meal to view and update that meal.

 


CREATING AND UPDATING INGREDIENTS

To view the Ingredients and Restrictions created on Polixen, navigate to the Meals and Services page. Then click the Meal Ingredients tab. Here you’ll see a list of Meal Restrictions, and then a list of Meal Ingredients.

To Create a new ingredient, scroll down to the Meal Ingredients list. Then click the New Ingredient button. Enter a name for the ingredient, and then click the Create New Meal Ingredient button to complete the procedure.

To View an existing ingredient, click the blue Information button next to its name. You can update its information, and then click the Save Changes button.

 


VIEWING MEALS AND CLIENTS WITH INGREDIENTS

While viewing the list of Meal Ingredients, you can also see how many clients have an allergy to each ingredient, and how many meals have each ingredient.

To view the list of clients with a particular allergy, click the blue Clients button next to an ingredient. On this Clients page, you can click the blue Information button next to a client’s name to get to their Client Page.

 

 

To view the list of meals with an ingredient, click the green Meals button next to an ingredient. On this Meals page, you can click the blue Information button next to a meal’s name to view its Meal Details popup.

 


CREATING AND UPDATING RESTRICTIONS

Restriction in ICRM refers to a group of ingredients. For this reason, restrictions are listed on the same page as the ingredients. To view your restrictions, navigate to the Meals and Services page and click the Meal Ingredients tab. The restrictions are listed above the ingredients.

To Create a new restriction, create the New Restriction button. On this popup, you’ll need to enter a Name, as well as the Ingredients that are part of this restriction. Then click the Create New Restriction button.

 


VIEWING CLIENTS WITH RESTRICTIONS

To view the list of clients who have a restriction, click the blue Clients button next to a restriction.

On this Clients page, you can click the blue Information button next to a client’s name to get to their Client Page.

 


CREATING AND UPDATING PROPERTIES

To get to the Property page, navigate to the Meals and Services page. Then click the Meal Properties tab.

To Create a new property, click the New Property page. Enter a name, then click the Create New Meal Property button.

To View an existing property, click the blue Information button next to its name. After making any desired changes, click the Save Changes button.

 


ADDING PROPERTIES TO CATEGORIES

Instead of adding a property to meals one by one, you can bulk-add it to all meals in a particular category. While viewing a property, click the Apply to Category button to see the Add Meal Property to Category Meals popup.

On this popup, select the category you’re adding the property to, and click the Apply button.

 


VIEWING MEALS AND CLIENTS WITH PROPERTIES

While viewing the list of Meal Properties, you can also see how many clients and meals have a property assigned.

To view the list of clients with a particular property assigned, click the blue Clients button next to a property. On this Clients page, you can click the blue Information button next to a client’s name to get to their Client Page.

 

 

To view the list of meals with a property assigned, click the green Meals button next to a property. On this Meals page, you can click the blue Information button next to a meal’s name to view its Meal Details popup.
